When a member of your organization leaves, there is a list of things which need to be done ranging from cleaning out the desk to changing the company phone directory. Let’s add one more thing to that list: Email account management. When someone sorts the postal delivery, the meaningful mail addressed to the former colleague is forwarded to the appropriate party for attention. Often times, the same former colleague’s email is not being read and important communication from clients and vendors may be ignored. There are a few different ways to handle the situation. One is to have the account deleted and let the mail go to the email address which handles misaddressed email. If there is no catch-all account, the mail just goes into nothingness. If the former colleague communicated frequently with those clients and vendors, the best choice may be to have the former colleague’s mail forwarded directly to the person now responsible for their duties. Communications with your firm’s important contacts are valuable. Don’t let your firm’s image suffer due to an Inbox full of never-read emails.
